Privacy Notice for surveys conducted via the Impact Unit’s online evaluation platform, in accordance with the provisions of the GDPR, issued by the operator

This survey is being conducted using the Impact Unit’s online evaluation platform (www.evaluationsplattform.impactunit.de) and is therefore also subject to the general privacy policy of the Impact Unit’s evaluation platform, as set out by the operator in accordance with the provisions of the GDPR.
In addition, the following provisions apply to participation in surveys via the evaluation platform.
Technical details

Participation in a survey takes place either via a paper questionnaire or via a web link. When participating in a survey via a web link, the Impact Unit’s evaluation platform collects information about the device and application used by the individual to take part in the survey. This includes the anonymised (= truncated) IP address of the requesting computer, directory protection user, date, time, pages accessed, logs, status code, data volume, referrer, user agent and hostname accessed. The IP addresses are stored in anonymised form. To achieve this, the last three digits are removed; for example, 127.0.0.1 becomes 127.0.0.*. IPv6 addresses are also anonymised. The anonymised IP addresses are retained for 60 days. Information regarding the directory protection user employed is anonymised after one day. Error logs, which record failed page requests, are deleted after seven days. In addition to the error messages, these contain the accessing IP address and, depending on the error, the webpage accessed. Access via FTP is logged with anonymised details of the username and IP address and retained for 60 days. It is also possible to invite respondents to follow-up surveys by email via the platform. To this end, a corresponding module can be added to a preliminary survey, prompting respondents to provide their email address in order to take part in one or more follow-up surveys. Respondents are required to agree to the privacy policy.

Purpose of the surveys
The surveys on this platform are used exclusively for the evaluation and research of science communication. Surveys for other purposes are only permitted with the prior written consent of the operator. Surveys conducted without such authorisation are not covered by this privacy policy. The data collected in this process will be deleted immediately upon the operator becoming aware of it.

Collection of data
This privacy policy covers only the collection of survey data via the evaluation platform in the context of anonymous surveys. If personal data is requested from you as part of the survey, this privacy policy does not govern the processing and storage of such personal data, and the operators of the evaluation platform are not liable for the handling of this data. Where personal data is collected, an additional privacy policy must be provided by the institution or person conducting the survey; this must be made available to respondents and consented to by them. Should personal data be collected in this survey, the users of the evaluation platform who have created and manage this survey are liable for the handling of such data.
Requesting an email address for the purpose of further surveys

In some cases, respondents have the option, when taking part, to register with their email address for further follow-up surveys. The email address will be used exclusively for the following purposes:
Sending invitations to take part in the relevant follow-up survey,
Sending reminders to take part,
If the initial survey is conducted on-site using a paper questionnaire, it is possible to generate a QR code when setting up the survey; this directs participants to a page where they can agree to the data protection policy and enter their email address. Here, they can also give their explicit consent to be contacted via this address for the purpose of further surveys. Only participants who have entered their email address and consented to its use will receive the relevant emails. Every email sent includes a reference to the privacy policy, as well as information on how to have their email address removed at any time. To enable a comparison of the results from initial and follow-up surveys, the platform automatically assigns an anonymous respondent ID as soon as participants register their email address and agree to the privacy policy. Email addresses are not disclosed in the analysis. Follow-up surveys are sent via personalised links based on the respondent ID, so that responses from the same person can be compared without revealing their email address. The stored email addresses are not visible to the operators of the evaluation platform or to the respective users who created the survey.

Objection and deletion of data
Participants are informed in every email that the stored data can be deleted at any time at their request. A link is included in every email, enabling participants to delete their own data.
Storage and use of data
The Impact Unit’s evaluation platform is hosted in Germany.
The survey data collected is stored on the Impact Unit’s evaluation platform and is available for analysis by the users who created and manage this survey there. In addition, other users can compare their results with the aggregated results of this survey. In these comparisons, however, your data is anonymised without exception, so that no conclusions can be drawn about your identity.
For surveys conducted within so-called consortia, it is possible to make a direct comparison of individual surveys with the consortium average. Users may also download the data and store and use it locally or in the cloud for further analysis. Furthermore, the survey data is available to the operators of the evaluation platform for further data analysis. Should any personal data be collected as part of a survey, this will be deleted by the operators of the evaluation platform prior to any further data analysis. Your data is therefore always analysed in an anonymised form by the operators, and no conclusions can be drawn about your identity.
Data is not usually deleted whilst the user’s account remains active. Users are responsible for determining how long the data is retained.
Email addresses collected whilst using the evaluation platform for the purposes of follow-up surveys are stored centrally. This data is automatically deleted no later than 24 months after it is collected or after the completion of the relevant survey, provided that the data subject has not deleted it earlier or further follow-up surveys are still active. The data is not stored for any longer than this.
